SPONSOR | EXHIBITOR SPACE

Sponsor/Exhibition space is provided as contracted and per the benefits outlined in your agreement, with priority given to headline sponsors. Companies can select their location preference, dependent on availability and once their sponsorship monies are paid in full. Exhibition space is sold as space only. Shell Scheme stands

include standard fascia panelling and 1 plug point, prebuild and dismantle.

All other requirements and any additional services can be ordered directly with the event supplier through the online web shop, at the Exhibiting Company own cost. All custom builds and/or mobile unit displays must submit a risk assessment and supporting documentation, 8 weeks prior the start of the event for review and

pre-approval. Height restrictions apply. Any additional requirements or service requests can be made to the organiser in writing. All stand approval is subject

to venue health, safety and build regulations. Sponsors/exhibitors must comply with all regulations and failure to do so will inhibit your stand build. The Exhibition Manual will be distributed prior the congress, and include the online web shop, exhibition guidelines, delivery and logistics information and event overview.

PAYMENT AND CANCELLATION

After the signed contract has been received by the conference organisers, an invoice will be issued for a non-refundable payment of 25% of the total amount. The balance of the full payment is payable by 28^th February 2027.

All cancellation requests must be submitted in writing and acknowledgement received. Cancellations received before 28th February 2027 will be required to pay 25% of full payment due. After 28th February 2027, no refunds will be made. E-AHPBA reserves the right to cancel the exhibition or terminate the contract for any

reason at any time upon written notice to the sponsor/exhibitor. In this event, a refund will be made for any rental fees paid by the /sponsor/exhibitor under

the contract.

LIABILITY

The organisers accept no responsibility should the conference be cancelled due to force majeure cases. Materials and equipment belonging to sponsors/exhibitors remain their own responsibility. The sponsor/exhibitor is responsible for the safety of all their property onsite at the conference venue. It is advised that sponsors/exhibitors carry their own insurance against any risk of loss due to theft/negligence, damage, injury or liability. ·      Prices are shown excluding VAT, and are subject to confirmation in the sponsor agreement.

·       Industry symposia and workshops may be scheduled during meeting breaks, date and time to be confirmed. Delegate attendance cannot be guaranteed.

·       Speakers and company representatives must be registered for the congress unless agreed otherwise.

·       Exhibition space is allocated by priority, headline and higher spend sponsors first, and is confirmed on receipt of full payment.

·       Shell scheme includes fascia panels and a plug point, other items are ordered separately.

·       Custom builds and mobile units require risk assessment and supporting documentation in advance, and are subject to venue regulations.

·       Payment schedule and cancellation policy will be confirmed in the sponsor agreement.

·       A non-refundable deposit is typically required, with balance due ahead of the congress.
